BDC Operational Doctrine

FIRST | BEST | MOST. The operating system for a Business Development Center. Built and deployed in high-volume automotive retail, 2026.

This is not a script book. It is not a suggestion folder. It is the operating system for internet sales.

It governs response speed, daily production, thread ownership, BDC coverage, product specialist expectations, appointment confirmation, stalled-lead recapture, CRM discipline, social media visibility, and the language standard used across every client surface.

Blind activity metrics do not put metal on the road. Volume without structure is spam. Structure without volume is weakness. We execute both.

FIRST | BEST | MOST

FIRST. Reply fast. The goal is under 90 seconds. The first operator wins attention.

BEST. Lead with structure. Specificity lowers resistance. Clarity creates compliance.

MOST. Execute disciplined volume. No passive pipelines. No ghosted leads. No soft execution.

The Expectation

Every active internet lead receives call, text, and email every day. That is the floor.

Silence creates a competitive opening. The second our thread goes quiet, another dealership gets room to become familiar. Daily contact does not mean blind blasting. Every touch must carry relevance, movement, or reorientation.

Thread Continuity

The conversation must feel cohesive. Not pieced together. Not restarted. Not passed around.

When entering an existing thread: read what happened before you speak. Reference the prior interaction when needed. Preserve the tone already established. Carry forward the current question, objection, or next step.

Enter the thread like you were already in it.

Sales owns the lead. BDC owns the pipeline. The client experiences one dealership, one thread, one direction.

Stage Architecture

Stage is not a label. Stage is the current operational state of the lead. Each stage carries a required action.

Speed-to-Lead SLA

Reply / first human response goal: under 90 seconds during business hours. Immediate call attempt and immediate text. First email within 15 minutes using the concierge brief format. Same-day second call attempt with a new value angle. Not repetition.

After hours: AI responds immediately with brand-safe triage and captures a micro-commitment.

The first operator wins attention. Every minute lost is conversion surrendered.

The 72-Hour Rule — Reactivate or Relinquish

If a lead has been sitting untouched in the CRM for three days, it is officially open season.

We are not a storage facility for stagnant opportunities. We do not let viable deals rot in silence. If you are not actively working a thread, someone else is going to step in and capture that momentum.

Dormant ownership is forfeited ownership. Work your lead or watch someone else close it.

Engagement Farming

Engagement farming means creating small, repeated reasons for the client to respond before the thread goes cold. You are not entitled to their attention. Earn it every time.

The thread itself becomes familiar. Familiarity lowers resistance.

Pattern Interruption

Predictable dealership communication becomes invisible. If the message feels like the last message, rewrite it.

Pattern interruption forces the client to re-orient toward the thread. Unexpected honesty. Vehicle requalification. A specific inventory strike. A visual walkaround. A market reality drop. A short human line that breaks the loop.

You are not chasing attention. You are reclaiming orientation.

Appointment Confirmation

We are not checking in. We are securing commitment.

An appointment is private time that has been allocated. If the client does not feel the allocation, the visit becomes optional. Optional appointments do not show.

The confirmation cadence is layered across four timing windows, each with a distinct message role. An appointment only counts as confirmed once a reply is received.

We do not send just confirming. We do not ask if they are still coming. We do not use vague time language.

Communication Standard

Language is the product. The client feels extraction before they process the words.

No checking in. No touching base. No asking if they are still interested. No open-ended closings. No fake urgency. No duplicate message structure within seven days. One objective per message. One question maximum.

Grounded guidance closes. Commission breath leaks.
